Privacy Policy for Docket

Last updated: Sep-2026
This Privacy Policy explains how Docket ("Docket," "we," "us," or "our") collects, uses, and protects information when you use our document management service, available at my-docket.com and through the Docket web application (together, the "Service").Docket is operated by:4MB Technologies, Stentenberg Str 31, 51702 Bergneustadt Germany

1. Our Core Principle: Your Documents Stay With You

Docket is built around a simple idea: your documents belong to you, not to us. Every document you upload is stored directly in your own Google Drive account — never on servers that Docket controls. We do not keep a copy of your original files. If you were to stop using Docket, the documents already filed remain safely in your own Drive, entirely independent of our service.

2. Information We Collect

2.1 Information You Provide
Documents you upload: letters, receipts, invoices, and other paperwork, submitted as photos or PDF files.
Account information: your email address (used to send you access credentials and, if applicable, password reset emails).
.Notes and organizational data: any notes, collection names, or reminders you create within the Servic

.2.2 Information Generated Through Use of the Service
When you upload a document, we use automated tools to:

1. Extract the text from your document (Optical Character Recognition).
2. Identify a title, category, and any deadline dates.
3. Generate a searchable text index of the document's content.
4. If requested, translate the document or draft a reply to it.
5. If requested, answer questions you ask about the document ("Ask AI").

This generated information — extracted text, titles, categories, deadline dates, and your conversation history with the Ask AI feature — is stored in our secure database so the Service can display, search, and organize your documents for you. The original document file itself is not stored here — only text and metadata derived from it.

2.3 Information We Do Not Collect
We do not use tracking cookies for advertising purposes, and we do not collect information for the purpose of building advertising profiles. We do not sell your information to third parties, ever.

3. How We Use Google Account Access

To provide the Service, Docket requests limited access to specific parts of your Google Account, using Google's OAuth authorization system. We request only the following permissions, and only for the purposes described:

Google Drive (drive.file scope)
To create a private folder in your Drive and save the documents you upload through Docket into it, and to read, update, or delete files within that folder as you use the Service — for example, displaying your documents, saving changes when you edit or delete one, or adding new pages to an existing document. This scope limits Docket's access to only the files and folders Docket itself creates through the app — Docket cannot see, read, or modify any other file in your Drive.

Google Calendar
To create reminder events for deadlines Docket detects in your documents, so you receive a notification through your own calendar.

Gmail (gmail.send scope)
To send you account-related emails, such as your welcome email or a password reset — Docket cannot read your inbox or send email on your behalf for any other purpose

You can review or revoke Docket's access to your Google Account at any time via your Google Account permissions page.
.

4. How We Process Your Documents Using AI

To provide OCR, translation, categorization, and the "Ask AI" feature, the text extracted from your documents (not the original image or file) is sent to third-party AI providers for processing:
Google Gemini, provided by Google.
Anthropic Claude, used as a backup processor if Google's service is temporarily unavailable.

These providers process the text solely to generate the response Docket requests (a category, a translation, an answer to your question) and do not use it to train their models on our customers' data, consistent with the commercial API terms under which Docket accesses these services.

5. Where Your Information Is Stored

Original documents: stored exclusively in your own Google Drive, under your own Google Account and Google's wn privacy and security practices.
Extracted text, metadata, and your Ask AI conversation history: stored in a private, access-controlled database operated on Google Cloud Platform infrastructure, located in the European Union (Frankfurt, Germany region).
Document thumbnails: small preview images generated for display within the Service, stored separately from the original file.

6. Data Retention and Deletion

We retain the information described in Section 2.2 for as long as your account remains active, or until you delete the relevant document within the Service. Deleting a document removes its extracted text, metadata, and thumbnail from our systems. Deleting a document within Docket does not delete the original file from your Google Drive — you control that file directly through Google Drive, independent of Docket.

If you wish to close your account entirely and have all associated metadata removed from our systems, contact us at info@my-docket.com

7. Your Rights

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation (GDPR) and equivalent laws, including the right to:

1. Access the information we hold about you.
2. Request correction of inaccurate information.
3. Request deletion of your information.
4. Request a copy of your information in a portable format.
5. Object to or restrict certain processing.
6. Lodge a complaint with your local data protection authority.
To exercise any of these rights, contact us at info@my-docket.com

8. Data Security

We use industry-standard security measures to protect the information described in this policy, including encrypted connections (HTTPS/TLS), access-controlled cloud infrastructure, and credentials stored using Google Cloud Secret Manager. No method of electronic storage is 100% secure, and we cannot guarantee absolute security.

9. Children's Privacy

The Service is not directed at children, and we do not knowingly collect information from anyone under the age of 16. If you believe a child has provided us with information, please contact us so we can remove it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically.
